Evaluation of a SAM tool
As a public law institution, our customer has a special responsibility towards the community. Internal workflows and results are therefore continuously optimised in a comprehensive quality management system. The appropriate tools and know-how were previously missing in the field of Software Asset Management, which is why tasks were performed decentrally and manually. For that reason, our customer searched for experienced SAM experts in a public tender and ultimately chose Softline.
The challenge
- Public administration with approx. 15,000 employees at five locations throughout Germany
- Around 33 million customers
- Manual collection of software assets and license records and their documentation in Excel spreadsheets
- Incomplete data, resulting in no assurance of compliance
- No transparency about software actually used, overlicensing and additional expenses
- No know-how about required resources and especially about tools and processes
Our solution
- Kick-off workshop on project details and definition of project-relevant data
- Maturity analysis of current SAM processes
- Inventorisation of the technical and server infrastructure
- Identification of requirements for a SAM tool to be acquired
- Creation of a criteria catalog and consulting on different tool vendors
- Implementation of the most suitable tool
- Determine the actual status of the license base for defined manufacturers
- Evaluation of the results, creation of a license summary and a compliance status report
- Final presentation with recommendations for further optimization in the field of Software Asset Management
The highlights
- Continually updated data basis for vendor audits or internal auditing, purchasing decisions, strategic decisions or contract negotiations
- Cost savings through usage-based software acquisition
- Better use of existing licenses
- Foundation for the implementation of effective and efficient software asset management
